Office Manager/Executive Assistant

Adweek, LLC is looking for a hard-working, highly organized, and resourceful Office Manager/Executive Assistant to support our small office in Midtown Manhattan. The ideal candidate will exhibit superb interpersonal and critical thinking skills as well as possess the following;

Position description:

Office Manager Support

  • Be the face of the organization by greeting, welcoming visitors at the front desk and directing them appropriately
  • Manage vendor/facility relationships including building management and external service providers.

  • Negotiate the purchase of services, supplies, furniture and equipment for the entire staff in accordance with company purchasing policies, budgetary restrictions and inventory control.

  • Ensuring incoming mail/packages are distributed appropriately and assist with outgoing mail/packages

  • Assist with NY office moves and office improvements

  • Work closely with Human Resources to schedule and organize staff events and parties.

  • Assist sales staff with administrative duties including, but not limited to; shipping, preparing packages for messenger delivery, binding, print inventory, etc.

  • Miscellaneous duties as assigned

Support to the CEO

  • Maximize the effectiveness of the CEO by efficiently organizing, prioritizing, and managing daily tasks, schedules, meetings, etc.
  • Effectively organize and manage day-to-day administrative tasks such as taking notes at staff meetings and following up on agenda items, as well as conducting research, and working on ad-hoc projects as needed

  • Manage internal/external meeting logistics, including organizing necessary materials, making appropriate restaurant arrangements, providing conference call details, coordinating cross functional teams, welcoming guests, etc.

Position Requirements:

  • Bachelor’s degree with 2-3 years of office administrative experience required.
  • Good planning and organizational skills.

  • Ability to maintain high levels of confidentiality.

  • Welldeveloped interpersonal and communication (both written and verbal) skills.

  • Ability to work independently, exercise good judgment, and take initiative as needed with little direction.

  • Ability to manage multiple, competing priorities successfully and adapt to changing business needs.

  • Ability to thrive in a fastpaced, rapidly changing environment.

  • Ability to interact effectively with diverse groups of internal and external stakeholders.

  • Professional, friendly appearance and demeanor.
