Tactical Opportunities (Tac Opps) is Blackstone's opportunistic investment platform. The Tac Opps team invests globally across asset classes, industries and geographies, seeking to identify and execute on attractive, differentiated investment opportunities. As part of the strategy, the team leverages the intellectual capital across Blackstone s various businesses while continuously optimizing its approach in the face of ever-changing market conditions.

Administrative Assistant

Job Description:

The Administrative Assistant role entails providing administrative support to a team of professionals and also includes the following responsibilities:

  • Subscription Document Processing: Adding all relevant information to Salesforce and then liaising with the business finance, external counsel and compliance teams
  • Marketing Materials: Keeping a schedule of upcoming meetings and ensuring that meeting materials have been prepared, including adding the correct disclaimers and watermarks

Salesforce: Managing the database for the team and ensure that accurate updates are entered in a timely fashion

Coordinating Meetings: Managing and monitoring the team s meeting request inbox, coordinating meetings and sending calendar invitations with detailed investor background

IOI s: Coordinating the indications of interest for all funds. Coordinating IOI meetings, distributing materials, managing next steps and follow ups

Co-Invests: Assisting with co-invests inclusive of coordinating and tracking NDAs, managing distribution of decks and sensitive information and setting up all the meetings and calls with prospective co-investors

Roadshows: Handling the management of roadshows and LP related travel commitments for the team

Data Room Management: Uploading and updating documents, providing access to data rooms by following compliance guidelines

Fund Launch: Managing the fund launch process, including putting together recipient lists, sending the launch email on behalf of senior management and monitoring responses

Events Management:

o Working with the IRBD team to manage the annual investor conference; taking the lead with Events team on invitations, LPAC sessions, seating at meals and other events; managing the salesforce campaign and the communications coach ahead of the event; managing events on the ground including one on one meetings

o Managing Diligence Days for perspective investors including creating agendas, coordinating tech requirements and assisting with the creations of marketing materials

Diligence Support: Providing backup to diligence team as needed; coordinating diligence meetings by liaising with other groups (Finance, Valuations, Legal & Compliance and IT) to design a schedule and prepare materials

Meeting Preparation: Helping prepare and distribute prep notes in advance of LP meetings and ensuring all calendar invitations have detailed information and background

Liaising with LPs: Working with LPs to coordinate meeting and logistics, and fielding and answering simple requests

Internal Point of Contact: Acting as point of contact for IRBD, Legal & Compliance on progress updates, process questions and simple questions regarding the fund

  • Familiarity with Salesforce is preferred
